Every few weeks, we get a call that starts the same way:
“Our email’s acting weird.”
“I think someone got in.”
“Why did all our passwords stop working?”
Nine times out of ten, it’s not a big hack. It’s a single setting that got overlooked — multi-factor authentication (MFA) wasn’t turned on.
We see it constantly with small and mid-sized businesses around Kenosha, Racine, and Lake County. Someone sets up Microsoft 365 or Google Workspace, everything runs fine, and because everyone’s busy, nobody goes back and checks the security defaults. Then one employee gets phished, the password leaks, and suddenly the whole company’s email or SharePoint gets locked down.
The fix is simple, but it needs to happen before something goes wrong:
turn on MFA for every account, not just the admins. Every single user.
If you’re using Microsoft 365, it’s under Azure Active Directory > Users > Multi-Factor Authentication. For Google Workspace, it’s under Security > Authentication. It takes maybe ten minutes to set up, and it makes your account 99% harder to breach
We get it. It’s one more thing to deal with when you’re already juggling invoices, staff, and clients. But we’ve seen the other side of this: the “Oh no, we can’t access payroll” kind of panic. So trust us when we say: it’s worth doing now, while you still have access to everything.
If you’re not sure whether your MFA’s active or set up the right way, we can take a quick look for you. It’s one of those five-minute checks that can save you a weekend of stress.
